OCDO Privacy policy

1. Purpose and Scope
This Privacy Policy outlines the principles and practices adopted by the Ontario Council of Drugless Osteopathy (the “Council”) for the collection, use, disclosure, retention, and safeguarding of personal information in accordance with applicable provincial privacy legislation and the Council’s Standards.

The Council is committed to protecting the confidentiality, accuracy, and security of personal information while fulfilling its obligation to act in the public interest.


2. Collection and Use of Personal Information
The Council collects personal information solely for the purposes of fulfilling its statutory duties, including:

  • Processing applications for registration and evaluating qualifications;
  • Administering quality assurance and continuing competency programs;
  • Investigating complaints and conducting disciplinary proceedings;
  • Maintaining the public register of members as required by law.

Personal information may be collected from members, applicants, and the public as necessary to support the Council's regulatory functions.


3. Disclosure of Personal Information
Personal information may be disclosed only as permitted or required by law. Disclosure may occur to:

  • Fulfill regulatory responsibilities;
  • Comply with legal obligations or court orders;
  • Cooperate with other regulatory authorities or law enforcement agencies.


4. Information Management and Security
The Council employs appropriate administrative, physical, and technological safeguards to protect personal information against unauthorized access, disclosure, loss, or misuse. These measures include:

  • Secure storage of physical and electronic records;
  • Role-based access controls to ensure that only authorized personnel can access personal information;
  • Regular review and updating of data protection policies and procedures.


5. Access to and Correction of Personal Information
Individuals have the right to request access to their personal information held by the Council, subject to limited exceptions under applicable law.
Access may be restricted where:

  • Disclosure would interfere with legal or disciplinary proceedings;
  • Retrieving the information would be unduly burdensome or impractical.

Individuals may also request correction of inaccurate or incomplete personal information. The Council will make reasonable efforts to respond to access or correction requests within thirty (30) days of receipt.


6. Privacy Complaints and Inquiries
The Council has established procedures for handling complaints and concerns related to its privacy practices.

  • Privacy-related complaints may be directed in writing to the Secretary of the Board of Directors.
  • The Council will acknowledge receipt of the complaint, conduct an internal review, and provide a written response outlining the outcome of the investigation.
  • Please note that complaints regarding the conduct of registered members are subject to separate investigative and disciplinary procedures.


7. Policy Review
This Privacy Policy is subject to periodic review and may be amended as required to reflect legislative or regulatory changes. The most current version will be made available on the Council’s official website.
